The organisers of Govcamp Scotland will process personal data belonging to those who register their interest, those who are allocated tickets and anyone else involved in the event (e.g. sponsors, volunteers).
This notice sets out how we’ll protect your personal data.
Who we are
GovCamp Scotland is a volunteer led event which brings together those who work in public services to explore ideas and ways in which we can achieve better outcomes for users of these services.
The volunteers who make up the Delivery team of the event are all professionals who work in the following public sector organisations.

RDS is the data controller for the purposes of the United Kingdom General Data Protection Regulation (UK GDPR) and Data Protection Act 2018 (DPA 2018) processing personal data as described in this notice.

We are committed to protecting your personal data as well as your privacy. This Privacy Policy outlines the basis by which personal data may be collected by us, provided by you, or processed by us.
In this policy, we will inform you who we are, why we need to process your personal data, what we will do with your personal data, and who we pass your personal data to, if applicable.

The data we collect about you
‘Personal data’ refers to any type of information about an individual from which that specific person can be identified.
We may collect, use, and store different kinds of personal data about you, which we have grouped together as follows:
Identity data: includes first name, last name, place of work, job title, and accessibility requirements, if declared.
Contact data: includes email address
Usage data: includes information about how you use our website.
Images and photographic data: unless you have specifically opted out, this includes photographs taken by the organisers of GovCamp Scotland event or images of people shared with us on social media or via email.
We do not collect any Special Categories of Personal Data about you. Special Categories of Personal Data include details about your political opinions, health/genetic/biometric data, sexual life/orientation, trade union membership, race, ethnicity, and religious or philosophical beliefs. Your personal data will be processed by RDS and stored securely in its M365 tenancy in an access-controlled SharePoint folder.
Your data may be shared by RDS with our GovCamp volunteer organisations in order to run future events and this will be governed by an appropriate data sharing agreement.
How is your personal data collected?
We use different methods to collect data from you or about you, including:
Direct interactions: This may entail you giving us your personal information by filling in a Microsoft form or by corresponding with us by phone, email or otherwise. This includes personal data you provide when you fill out forms on our website or give us feedback.
Automated technologies: This entails website analytics which help us understand how users interact with our site. We collect this data by using cookies that are set by our website host, SquareSpace. Learn more in their Cookie Policy.
Why we may process your data
The organisers of GovCamp Scotland will process the personal data of:
individuals who register their interest in attending the event by filling out the ballot form via a Microsoft form on the tenancy of Research Data Scotland.
those individuals who have applied for and are allocated tickets
those who have registered for the event and are on the event waiting list
those involved in the event (e.g. sponsors, volunteers and venue staff).

Your job title and organisation
Information you provide relating to any accessibility or other needs.

How long we will retain your data
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, and the potential risk of harm from unauthorised use or disclosure of your personal data. We also consider the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements. RDS will apply its Review and Retention Policy to the personal data we hold.
Your rights
The law gives you a number of rights to control what personal information is used by us and how it is used by us.
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. If you wish to exercise any of your rights under the UK GDPR please contact the Data Protection Officer at RDS by email at dataprotection@researchdata.scot.
If you remain dissatisfied with how your personal data has been handled, you have the right to lodge a complaint with the Information Commissioner's Office (ICO).
